Privacy Policy
Effective date: October 18, 2026
This Privacy Policy explains how Sanctum Chamber (“we”, “us”, or “the Site”) handles information when you use sanctum-chamber.net, including its community chat, profiles, blogs, games and AI-assisted features.
1. Information we collect
Accounts and content. We collect information you submit, such as usernames, email addresses, account credentials, profile information, images, posts, room messages, private messages, reports and game activity. Account passwords are stored as hashes. Guest access also creates records needed to operate and moderate the chat.
Security and technical information. Our chat security systems store raw IP addresses, browser user-agent information, activity timestamps and device-related records. We use a randomly generated browser identifier to recognize a browser and associate accounts used through it. These records help us investigate abuse, enforce bans and identify potentially related accounts. A shared IP address or browser does not, by itself, prove that accounts belong to the same person.
Age checks. Chat asks for your age to determine eligibility. The age-check feature retains the eligibility result, an age category, the applicable minimum age and the check date, rather than your exact age or date of birth. Member results are associated with the account; guest results are associated with the current session. Failed checks can restrict access and set a temporary browser cookie. These are self-reported checks, not identity verification.
Website analytics. Sanctum Stats uses daily-salted hashes of IP addresses and browser user-agent information for traffic measurement. Its country-lookup cache uses a separate hashed IP identifier. Hashing within analytics does not mean that raw IP addresses are absent from security records, server logs or third-party requests.
2. How we use information
- Provide accounts, chat, community content, games and related features.
- Authenticate users, support account recovery and connect supported site features.
- Moderate content, investigate reports, detect abuse and enforce access restrictions.
- Check age eligibility and support age-related access decisions.
- Generate AI responses, screen submitted images and translate requested text.
- Measure website activity, display advertising and count advertising interactions.
- Respond to support and privacy requests.
3. Who can see content
Room messages, profile information, posts and uploads are visible according to the feature and its access settings. Other users may copy or share content they can see. Avoid posting information you intend to keep confidential.
Private messages are stored on our servers and are not end-to-end encrypted. The normal messaging interface restricts conversations to their participants, but information may also be processed for delivery, security, support, requested translation and AI features. Authorized administration of the service can involve access to stored records. Notification services may receive message previews.
Authorized staff can access moderation and security information, including account-link investigation results. Such results are intended for restricted administrative use.
4. AI processing and external services
AI assistants and moderation. Messages and relevant context may be sent to external AI providers to generate bot responses or assist moderation. This includes conversations with Janice and Noid. Images submitted through our image-safety screening are sent to the configured external AI service for classification. AI results can be inaccurate.
Translation. The Tongues feature sends text selected or submitted for translation to xAI. It temporarily substitutes certain links, mentions and emoji, but this does not remove all personal information from the text. Translation results may be cached, and message records can retain both original and translated text.
External AI processing uses configured providers, including xAI. Information sent to a provider is subject to that provider’s applicable service terms and data-handling practices. An API request asking a provider not to store a response is not a promise that the provider retains no logs or other records. Do not submit sensitive information to AI features unless you are comfortable with this processing.
Country lookup. When enabled, Sanctum Stats sends a visitor’s IP address to ip-api.com to obtain a country code. The current integration uses its HTTP endpoint, so this lookup is not encrypted in transit. The local lookup cache stores a hashed IP identifier and country result, and is configured for cleanup after 30 days.
Embedded media and infrastructure. Features such as embedded YouTube or Rumble players connect to their respective providers when loaded. Hosting, network delivery, email and notification services also process information needed to provide their functions. External services may receive your IP address and request or device information.
5. Advertising, cookies and browser storage
The website uses a Google AdSense integration. Chat advertising includes our own promotional units and configured Adsterra units. Ad Bot is configured to show advertising to guests and non-VIP members, subject to room and scheduling settings.
Third-party advertisements may load external scripts and use cookies or similar technologies for delivery, measurement or personalization. Requests to advertising providers can disclose IP addresses and browser information. An advertisement displayed inside a frame can still communicate with its provider.
For information about Google’s practices, see Google’s partner-site privacy information. Google advertising preferences are available through My Ad Center. Other advertising providers have their own privacy information and choices.
Our own cookies and browser storage support login, sessions, site preferences, security and age checks. The device-recognition cookie is configured with a lifetime of up to five years; a failed age-check cookie is configured for 24 hours. Cookies can expire earlier or be removed through browser controls. Clearing them does not automatically delete server-side records.
The chat’s essential-cookie notice does not describe every third-party advertising technology. Browser controls can block or clear cookies, although this may affect login and other features.
6. Retention and deletion
Different kinds of information have different retention arrangements:
- Accounts, profiles and community content: retained to provide the service until removed or otherwise handled through a deletion request, subject to justified security or legal needs.
- Room messages: the current chat-history setting is 14 days. A scheduled task is configured to permanently remove older message records. This setting does not establish a 14-day deletion period for private messages, uploaded files, quoted copies, moderation records or backups.
- Private messages and uploads: these do not currently have a universal automatic deletion period. Deleting a visible message does not necessarily immediately remove associated files or every retained copy.
- Security records: IP, device-link, ban and moderation records may remain separately from ordinary message history. Some moderation records retain names and excerpts even after related content or accounts are removed.
- Analytics: Sanctum Stats has a configurable retention period, defaulting to 90 days, and scheduled cleanup. Its country cache is configured for 30-day cleanup.
- Backups and external services: copies may remain separately from live records and are subject to their respective retention and deletion processes.
To request deletion, contact us using the address below. We may need to verify that you control the relevant account. We will assess the request and any applicable legal obligations, explain relevant limitations or justified retention, and coordinate removal across the systems involved. We do not currently provide a single self-service action that immediately erases every copy across all systems.
7. Children and age eligibility
Sanctum Chamber is not directed to children under 13. Our published Terms establish a minimum age of 13, or a higher applicable minimum described there. Chat access is subject to the configured minimum-age check.
If you believe a child under 13 has supplied personal information, contact us promptly. We will investigate, restrict inappropriate access and address the information in accordance with applicable requirements. An age screen does not replace our responsibility to act when we learn that a user is underage.
8. Security and your choices
We use measures such as password hashing, access controls and encrypted connections where supported. No system is perfectly secure, and some integrations have limitations described above.
You can adjust available profile and messaging settings, limit what you share, use browser privacy controls, stop using optional AI or translation features, and contact us about your information. Mandatory safety screening may still be required to use upload features.
9. Policy changes and contact
We may revise this policy as our practices change. We will publish revisions here and update the effective date.
For privacy questions, access or deletion requests, or concerns about an underage account, email gnosis@sanctum-chamber.net. Please do not send identity documents unless we have first agreed on an appropriate verification method.
