Privacy Policy

This Privacy Policy explains how Sanctum Chamber (“we”, “us”, “the Site”) collects, uses, and discloses information when you visit sanctum-chamber.net or use any of its features — including the chat rooms, the Sanctum Blogs, the in-site games, and the Janice conversational assistant.

1. Information we collect

(a) Information you provide. When you create an account we collect your chosen username, email address, and password (stored hashed, never in plain text). Profile fields, avatar uploads, blog posts, chat messages, and game actions you submit are stored so the service can function and so other users can see them as appropriate.

(b) Information collected automatically. When you visit the Site, our servers log standard request information including your IP address, browser user-agent string, requested URL, referring URL, and the date and time of the request. Our first-party analytics module (“Sanctum Stats”) stores these in aggregate form: IP addresses are converted to one-way hashes with a daily-rotating salt before being written to the database, and only your country (an ISO-3166 two-letter code such as “US”) is derived from your IP via a one-time external lookup that is cached against a hash of your IP. We do not store raw IP addresses.

(c) Cookies and similar technologies. WordPress sets session and authentication cookies that are necessary for login and certain features. The Google AdSense scripts described below set additional cookies for advertising measurement and personalization.

2. How we use information

  • operate, maintain, and improve the Site and its features;
  • authenticate you and protect your account;
  • moderate content, prevent abuse, and investigate violations of our Terms of Service;
  • generate aggregate statistics about site traffic and feature usage;
  • serve and measure advertising;
  • respond to your inquiries.

3. Third-party services

The following third parties may receive limited information when you use the Site:

  • Google AdSense. We serve advertising through Google AdSense (publisher ID ca-pub-4521361435710357). Google and its partners may use cookies, web beacons, and similar technologies to serve ads based on your prior visits to this or other websites. You can opt out of personalized advertising at https://www.google.com/settings/ads, or opt out of third-party vendor cookies at www.aboutads.info. More information about how Google uses data when you use partner sites is available at policies.google.com/technologies/partner-sites.
  • Janice (AI assistant). When you address Janice in chat (for example with @janice), the content of your message and limited surrounding context may be sent to one or more third-party large-language-model providers (currently xAI Grok, with OpenAI and Venice as fallbacks) so that a response can be generated. Do not share information with Janice that you do not want transmitted to those providers.
  • IP-based country lookup. Sanctum Stats performs a one-time, country-only lookup of new visitor IP addresses against the ip-api.com free endpoint. Only the country code is stored, and the result is cached against a hash of the IP for 30 days.

4. Data retention

  • Account information is retained for as long as your account exists.
  • Chat messages and blog posts are retained indefinitely unless you or we delete them.
  • Sanctum Stats analytics data is retained for 90 days by default, then automatically deleted by a daily background task.
  • The IP→country cache is rolled every 30 days.

5. Your choices

  • You may stop using the Site at any time. To request deletion of your account or content, contact us using the address in section 9.
  • You can clear or block cookies in your browser; doing so may break login and certain features.
  • You can opt out of Google’s personalized advertising via the links in section 3.

6. Children’s privacy

The Site is not directed to children under 13 years of age, and we do not knowingly collect personal information from children under 13. If we learn that we have inadvertently done so, we will delete it.

7. Security

We use industry-standard measures — including TLS encryption for transport, hashed password storage, and access-controlled databases — to protect your information. No method of transmission or storage is perfectly secure, however, and we cannot guarantee absolute security.

8. Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised version on this page and update the “Effective date” above.
